Position Title: Volunteer Manager

Department: Internal Relations

Position Status: Salaried

Purpose:

The Volunteer Manager is responsible for the development, implementation, and management of all aspects of the various volunteer opportunities at the Pittsburgh Zoo & PPG Aquarium. This includes recruitment, interviewing, training, managing, supervising, recognizing, retaining, and evaluating the adult and teen programs, among other duties.

essential job functions:

  • Implement and oversee the success of the Volunteer Department; program areas of volunteer service include the adult docent program, aquarium dive volunteers, corporate volunteers, and internships.
  • Coordinate, conduct and manage training and continuing education opportunities for the volunteers with a focus on promoting customer service and excellent presentation skills.
  • Serve as the primary point of contact for volunteers to provide guidance, give updates on the animals, etc.
  • Respond to phone and email requests for information on the Pittsburgh Zoo & PPG Aquarium’s volunteer and intern programs.
  • Coordinates and supports internship program zoo-wide to ensure uniformity for all departments. Primary contact with educational institutions for internship opportunities.  Works directly with each department to identify candidates.  Conducts onboarding and initial zoo training for all interns.  Ensures educational institutional requirements are met.
  • Maintain accurate records for volunteers and interns with regards to hours, State clearance acts, TB tests, etc.
  • Coordinates and participates in volunteer meetings, volunteer appreciation events and social functions.
  • Acts as a liaison between docents, docent executive board and zoo staff.
  • Hiring and supporting part-time staff as needed.
  • Fill in and support daily operational needs, when necessary.
  • Handles and presents live animals both within the Zoo setting and outside of the Zoo setting, as necessary.

 Other Functions:

  • Participates in various Zoo committees
  • Models excellent teaching and interpretation skills to participants
  • Communicates with other zoo departments to successfully meet their needs with regards to volunteers
  • Assists with zoo sponsored events
  • Weekend work required
  • Performs other related duties as required.

Performance factors:

1. Attendance and Dependability: The employee can be depended on to report to work at the scheduled time and is seldom absent from work.  Employee can be depended upon to complete work in a timely, accurate, and thorough manner and is conscientious about assignments.

2. Communication and Contact: The employee communicates effectively both verbally and in writing with superiors, colleagues, and individuals inside and outside the Zoological Society.

3. Relationships with Others:  The employee works effectively and relates well with others including superiors, colleagues, and individuals inside and outside the Zoological Society.  Exhibits a professional manner in dealing with others, and works to maintain constructive working relationships.

4. Provides excellent customer service in the areas of guest relations and park beautification:

      • Answers visitor inquiries or finds someone who can.
      • Is knowledgeable of the location of exhibits, restrooms, concessions, rentals, etc.
      • Disposes of litter and waste throughout the park and zoo facilities.

Education/Experience/Knowledge/Skills:

Four years’ experience managing, supervising, and training volunteers or a degree in Zoology, Biology, Education, human resources management, social work, non-profit administration/management or a related field and a minimum of two years experience.  Experience working with teens and high school students is desirable. Knowledge of current trends and resources related to volunteerism. Strong organizational and time management skills are required, along with experience in informal interpretation. Demonstrated proficiency with computer software programs, presentation skills and attention to detail are required. Department of Human Services Child Abuse History Clearance, Pennsylvania State Police Criminal Records Check, and Federal Criminal History Record Information are required, along with a valid PA driver’s license. TB Test and proof of Covid–19 vaccination. Bilingual preferred.

    Physical Requirements:

    1. Manual dexterity to operate office machinery such as personal computer, telephone, facsimile machine, copier, calculator, etc.
    2. Work may be performed within the park in all weather conditions.  This position requires sitting, standing, bending, walking, pushing, and lifting up to 50lbs.
    3. Must be able to work evenings, weekends and holidays.
